Sales Operations Coordinator

We’re looking for a dependable and proactive Sales Operations Coordinator to join our Sales & Marketing team. In this administrative-focused role, you will support the sales function by managing data, documentation, and operational processes to ensure smooth and efficient sales operations.

Your role will be pivotal in supporting internal teams and maintaining accurate records, while ensuring compliance with industry standards.

Key Responsibilities

  • Manage and maintain sales data, customer records, and CRM systems (HubSpot) with a focus on accuracy and completeness.

  • Coordinate the end-to-end order process, working closely with production and logistics to ensure timely delivery.

  • Provide administrative support to the sales team, including preparing documentation, reports, and sales-related communications.

  • Assist in ensuring regulatory compliance by preparing accurate sales and shipping documentation aligned with medical device standards.

  • Facilitate communication between sales, R&D, production, and logistics teams to optimize workflow and customer satisfaction.

  • Support post-sale follow-up activities to maintain strong customer relationships and resolve any operational issues.

  • Assist with scheduling meetings, tracking sales performance metrics, and managing contract documentation.

Who You Are

  • Minimum MBO-4 or HAVO.

  • 4 to 5 years of relevant experience, ideally with a strong administrative and operational focus.

  • Excellent organizational skills with the ability to manage multiple priorities efficiently.

  • Proficient in using CRM systems (like HubSpot) and financial systems (Exact).

  • Strong communication skills, clear and professional in correspondence.

  • Knowledge of international logistics and regulations in the medical device or bioceramics field is an advantage.

  • Proactive and detail-oriented with a problem-solving mindset.

Pre-Qualification:

  • Valid work permit/right to work in the Netherlands.

  • Residency/living near Leiden BioScience Park preferred.

  • Reasonable commute to the office.

  • Fluency in Dutch and English.

  • Full-time, on-site role.
